Privacy policy
1. Who we are
Sanby is an Australian business building an AI phone receptionist for Australian businesses. When this policy says "we" or "us" we mean Sanby.

2. What we collect
Right now Sanby is a waitlist page with no product behind it. When you join the waitlist, we collect:
- Your email address — because you gave it to us.
- Your IP address — captured automatically by our server so we can stop the form being spammed.
- Your browser's user-agent string and the page that referred you — also captured automatically, so we have a rough idea of how people find the site.
- The time you signed up.
That's it. We don't ask for your name, phone number, business name, or anything else at this stage.
3. Why we collect it
- Email address: so we can let you know when Sanby is ready for you to try. If we have something material to share before then — a meaningful update, an early-access invite — we might email once or twice in between. We won't sell it and we won't drip-market at you.
- IP, user-agent, referrer: spam prevention and basic analytics. These aren't tied back to you in any marketing system — they sit in our database next to your signup and that's the end of it.
4. Where it's stored
In Sydney, Australia. Specifically, in a managed Postgres database hosted by Vultr in their Sydney region. Your waitlist record does not leave Australia.
Sanby's broader technical architecture is designed so that customer data stays in Australia — this is a deliberate product decision, not an accident.
5. How long we keep it
We keep your waitlist record until the earliest of:
- You ask us to delete it.
- Twelve months after we've lost contact (bounced email, no response to a launch invite).
- You become a Sanby customer, at which point your data moves into our customer system under a different, more detailed privacy notice.
6. Who we share it with
Right now: no one. Your waitlist email doesn't go into any marketing platform, CRM, or third-party service.
When Sanby launches, customers (not waitlist signups) will interact with a small number of third-party services we depend on — telephony, payment processing, email delivery. We'll list those clearly in the updated policy at that time. Until you're a customer, none of that applies to you.
7. Cookies
The Sanby marketing site does not set cookies or use third-party analytics. Fonts are loaded from Google Fonts over a content delivery network — Google may log a request from your browser when the font files are fetched, but Sanby does not receive any tracking data from this.
8. Your rights
You can:
- Ask for a copy of what we hold about you.
- Ask us to correct it.
- Ask us to delete it.
- Complain to the Office of the Australian Information Commissioner (oaic.gov.au) if you think we've mishandled your information.
Email hello@sanby.com.au and we'll action requests within a reasonable timeframe (and within any statutory deadline that applies).
9. Changes to this policy
We'll update this page when our data handling changes — for example, when Sanby becomes a live product and customer data comes into scope. If the change is material we'll email current waitlist members so you know what's changed before it takes effect.
